Professional, Administrative Assistant

Responsibilities:
Provide high-level administrative support, including managing calendars, scheduling appointments, and coordinating travel arrangements.
Prepare and edit correspondence, presentations, reports, and other documents as needed.
Manage and prioritize incoming communications, including phone calls, emails, and mail, and handle them professionally and efficiently.
Coordinate and organize meetings and conferences, including arranging logistics, catering, preparing agendas, taking minutes, and following up on action items.
Prepare and process expense reports, ensuring accuracy and timeliness.
Partner with local marketing and comms to organize content and create presentations for internal leadership meetings, staff events, off-site retreats, and town hall calls.
Partner with the local marketing and comms team to coordinate operational activities, meetings, outreach activities.
Maintain confidentiality and handle sensitive information with the utmost professionalism and discretion.
Develop and maintain effective working relationships with clients (externally) and colleagues (internally)
Education, experience, and skills:
5+ years of relevant experience
Proven experience as an Executive Assistant or in a similar role.
Strong organizational and time management skills, with the ability to multi-task and prioritize effectively in a fast-paced environment.
Strong attention to detail, ensuring accuracy in all tasks and deliverables.
Professional written and verbal communication skills.
Proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook.
Exceptional interpersonal skills, with the ability to interact with individuals at all levels internally and externally.
Proactive problem solver with the ability to think critically and make sound decisions.
High level of discretion and confidentiality.
Ability to adapt quickly to changing priorities and work independently with minimal supervision
Fluent in Portuguese and English, Spanish is a plus
