ITI Administrative and Operations Manager

The Institute for Interactive Technologies (ITI) is an interdisciplinary research center with specialists in engineering, design, social sciences, arts, and humanities of Instituto Superior Técnico. ITI is growing and is looking for a professional who supports researchers in all administrative, contractual, and financial phases and interacts with the project managers, staff, students, and ITI Board.

Profile and skills:

  • Experience in project management;
  • Experience in financial management;
  • Experience in administrative proceedings;
  • Computer skills from the user's perspective, management, and communication systems;
  • Ability to communicate at various levels of hierarchy;

Responsibilities:

  • Support to the project management, communication, and executive management team, professors, scholarship holders, and researchers;
  • Support in the budgetary control of projects;
  • Support in the control and integration of new members in their entry into the ITI;
  • Support in the control and integration of new members in the lists of the official ITI R&D units (e.g., mailing lists);
  • Support in the recruitment and hiring processes of scholarship holders and researchers;
  • Submission of purchase requests (equipment, services, event registrations, conferences) and missions (work trips):
  • Guarantee efficient communication between professors and researchers;
  • Requests for quotations from suppliers;
  • Submission of purchases and missions in the procurement platforms;
  • Monitoring, confirmation of invoicing, and control of payments to suppliers;
  • Guarantee of delivery of purchases/trips within the established deadlines;
  • Manage reception and delivery of equipment.
  • To ensure the well-being of scholarship holders, teachers, and students and ensure the ITI space's proper functioning (organization, communication, company, space management, storage room, among others).

Minimum Qualifications:

  • Bachelor's Degree in a related field.
  • Five years of related experience.
  • Fluency in English (written and spoken)
  • Fluency in Portuguese (written and spoken)

Job Location:

  • You will be located at Beato Innovation District in East Lisbon and must perform your role on-site.
